1. Who is responsible?

Surf & Shanti is the host of this website and your retreat. Gather (Gatheround Ltd) operates the booking platform. Depending on the activity, Surf & Shanti and/or Gather may act as a controller or processor of your personal data. Gather’s platform privacy policy also applies to bookings, payments and account features on try-gather.co.

2. What we collect

Depending on how you use the site, we may process:

• Identity and contact details (name, email, phone) when you enquire, join a list or book
• Booking details (retreat, dates, room, notes, dietary or accessibility information you provide)
• Payment-related records (Gather/Stripe process card payments — we do not store full card numbers)
• Technical and usage data (device, pages viewed) and, if you consent, analytics cookies
• Messages you send us by email or form

3. How we use it

We use personal data to run retreats and this site, including:

• Responding to enquiries and managing your booking
• Sending service messages (confirmations, balance reminders, practical retreat updates)
• Marketing our retreats where you have opted in (you can unsubscribe any time)
• Improving the site and understanding visits, where analytics are enabled and you have accepted optional cookies
• Meeting legal, tax and accounting obligations

4. Who we share it with

We share data only as needed with trusted providers, for example Gather (platform), Stripe (payments), email tools (e.g. for newsletters or service mail), and on-retreat partners such as venues or instructors where required to deliver the experience. We do not sell your personal data.

5. Cookies

Essential cookies keep the site and booking flows working. Optional analytics cookies load only if you choose Accept all. See our Cookie policy for detail and how to change your choice.

6. How long we keep it

We keep booking and payment-related records for as long as needed for the retreat and for legal/accounting periods. Marketing contacts are kept until you opt out. Enquiry messages are kept only as long as useful to help you.

7. Your rights

Where UK GDPR or similar laws apply, you may have rights to access, correct, erase, restrict or object to certain processing, and to withdraw consent. To exercise these rights for Surf & Shanti’s use of your data, email the address in the footer. You may also contact Gather for platform-held data, and you can complain to your local data protection authority (in the UK, the ICO).

8. Security & international transfers

We and our providers use reasonable technical and organisational measures to protect personal data. Some providers may process data outside the UK/EEA with appropriate safeguards (such as standard contractual clauses).

9. Children

Our retreats and this site are aimed at adults. We do not knowingly collect personal data from children under 16.
